Ratings Report for USCF - Utilities Menu
This utility converts your SwissSys tournament files into the three .dbf files the USCF requires for online ratings submission.
Access: Utilities → Ratings reports → USCF
What It Produces
The process creates three files:
thexport.dbftsexport.dbftdexport.dbf
Upload these files to the USCF online ratings submission system.
Submission Procedure
Select your tournament files
In the file selection dialog, navigate to your SwissSys tournament files. For each section, select only the last file you saved for that section (not earlier saves).
For multi-section tournaments, load sections in order. Use Shift or Ctrl to select multiple files at once.
Fill in the Tournament Overview
Complete the tournament summary fields at the bottom of the page, then click OK.
Complete section details
A separate detail dialog appears for each section. Fill in the required fields including:
- Send cross table to: Type A (Affiliate), T (TD), or N (None)
Click OK to proceed to the next section.
Choose output location
SwissSys prompts for a folder where the three .dbf files will be saved. Choose a location, then submit those files to the USCF.
Important Notes
- The USCF requires valid USCF ID numbers for all players — submissions cannot be processed without them.
- Submit your ratings report as soon as possible after the tournament. The USCF prefers reports within two weeks.
- If you used non-standard result codes (other than W/D/L), you must restore normal result codes before converting. See the note below.
- Name formatting: To export a space before a trailing
-ein last names (for exampleSmith-e→Smith -e), enable Space before -e (USCF) on the Files & Databases tab before running the report.
Non-standard result codes: If you used non-standard key codes, you must first set up those same codes in SwissSys, load the file, restore normal codes, and re-save the file — then run the conversion.
Combining Multiple Tournaments Into One Report
If you have a backlog of tournaments to report, you can combine them onto one submission by treating each tournament as a separate section of a single long-term event:
- Enter the master tournament data on the first page.
- Add each individual tournament as its own section.
- Fill in section details as usual.
The USCF accepts these combined submissions.
