Teamcodes Overview

SwissSys identifies each team using two pieces of information that work together:

The team code is the key identifier. Keep it short for easy data entry; the expanded name provides the readable display label.

Requirements by Tournament Type

  • Team tournaments: Team code is required. Expanded name is optional but strongly recommended.
  • Non-team tournaments: Team code is optional (used for subtotals and club groupings).

Entering and Editing Team Codes

At Registration

When you register a player and enter a team code SwissSys has not seen before, it prompts you to enter an expanded name. You can leave it blank if the code is self-explanatory.

Renaming a Team Code

To rename a team code to something new:

Open any player on that team

Open the registration page for a player on the team you want to rename.

Enter the new team code

Type the new code in the Teams field and save the player.

Respond to the prompt

SwissSys will ask whether to rename just this player’s team code or all players on that team.

  • Click Rename to update all teammates at once.
  • Click OK to change only this player’s code.

Managing Expanded Names

You can view and edit all expanded names at any time via Team → Expanded team names….

How Team Codes and Names Are Saved

Team codes and their expanded names are saved in two separate places automatically:

  1. In the tournament file (.sjson) — Each player record stores that player’s team code, so the codes always travel with the tournament. For fixed-roster (team) tournaments, the section’s team listing also stores each team’s code together with its expanded full name, so the expansions are embedded directly in the tournament file.
  2. In your master team name list — A separate, reusable file (TeamList.txt in your application data folder by default) that maps every team code to its expanded name. SwissSys loads this list automatically every time it starts.

When you open a tournament with Team → Use master list checked, SwissSys reconciles the codes in the file against your master list: any code that already has an expansion in the list is filled in, and any new code from the tournament is added to the list for future use. This is why a name you expand once becomes available in later tournaments.

The .sjson file is the version 11 (and later) tournament format — it replaced the older per-section files used by earlier versions. Team codes and expansions are part of that file; there is no separate section file to manage.

Working With Other Directors’ Files

If you load a file from another tournament director who uses different team codes or expansions, their codes may conflict with entries in your master list.

To avoid overwriting your list:

  1. Uncheck Team → Use master list before loading the file.
  2. SwissSys will use the expansions embedded in the file as-is.
  3. Your master list remains unchanged.

When Use master list is unchecked, you cannot edit expanded names through the master list dialog because it only operates on the master list. Re-check the option when you are done working with the external file.
