Registration Tools

The Tools menu in the Registration dialog gives you quick access to several helper functions while you check players in. Two related features that affect how players are registered — the Warn if expired option and the rating and age/grade section rules — live elsewhere in the dialog and are described further down this page.

Tools menu

The Tools menu contains the following four commands.

Network mode — This causes each player you register to be saved automatically to your network database, if you have declared one. See the topic network mode for more details.

Tabs… — This command lets you tell SwissSys which fields you want to be able to tab to and which ones you want to ignore. If, for instance, you only use the player’s name, ID, rating, and State, you can exclude all the others from the tab list. This makes it unnecessary to hit the Tab key repeatedly just to get down to the State field.

Members… — This gives you quick access to the USCF membership forms dialog.

Registration setup

The Registration setup submenu collects the registration support functions:

  • Database setup… — Set up your database. This is identical to the Database | Database setup command.
  • Change club list… — Change the name and path of your current club list, used for importing players at registration.

Warn if expired

Warn if expired is a toggle on the Registration dialog’s Options menu (not the Tools menu). When it is checked, SwissSys warns you whenever you try to register a player whose membership has expired.

This setting can also be changed from the Environment options dialog. See Environment options: Registration & editing for the full list of registration warnings and rules.

Warn if expired is turned on by default. Keep it enabled so you can catch expired memberships before pairings start.

Section rules at registration time

SwissSys can help you drop each player into the right section automatically based on the player’s rating or age/grade. These are not menu items — they are rules you enable in the Environment options dialog (under Registration & editing). Once enabled, they take effect as prompts while you register.

For either rule to work, the rating ranges (or age/grade ranges) you declare for your sections must be mutually exclusive, so that a given rating or grade matches exactly one section.

Rating-based rule

When the rating rule is on and a player’s rating does not match the section currently selected, SwissSys prompts you while you accept the player. Depending on the situation you may see:

  • A reminder that the player appears ineligible for the current section, with the choices Switch to proper section, Cancel, Always switch, or Do not switch.
  • If the player is eligible for a lower-rated section: Register anyway for the current section, Cancel, or Stop asking.
  • If the rating is out of bounds or matches no section: OK to accept for the current section, or Cancel.

Choosing Always switch stops the per-player reminder while leaving the rule active; choosing Stop asking turns the rule off for the rest of the session.

Age/Grade-based rule

The age/grade rule works the same way as the rating rule, but it looks at the player’s age/grade field instead of the rating to decide which section the player belongs in. It presents the same set of prompts and the same Always switch and Stop asking choices.

Both rules only steer players correctly if your section ranges do not overlap. Define exclusive rating or age/grade boundaries for each section before relying on automatic section switching.
