Send Emails - Utilities Menu

If you have included player emails when you registered them, you can use this feature to send any or all of the players in a section an e-mail directly from SwissSys on most systems, optionally including a listing of the wall chart, standings, or pairing alerts.

Setting up email

To send an email, first make sure you are connected, then tell SwissSys what your host (or SMTP server) is.

Different e-mail programs save this information in different places.

For Microsoft’s Outlook Express, you can find your host by clicking Tools | Accounts and seeing what is listed in the column for “Mail”.

Gmail, for instance, uses smtp.gmail.com as its host.

Server configuration

Some servers require use of specific ports. The most common ports are listed in the drop-down box at the top. If your host requires a secure connection, check that box too, and in the boxes provided enter a password and user name if required.

Once you have entered that information in the box marked “Host (SMTP Server)”, enter the e-mail address that goes with this account in the “From” box.

All this information will be saved when you exit the program.

Selecting recipients

Next, select the players you want to email. You can click a name and drag it, select a name and hit the arrow button, or hit the double arrow button to send a bulk e-mail to all your players.

Next, enter a subject and any file attachments you want to include. If you check the box marked “Automatically attach html of main view”, an html listing of the wall chart (or standings, if that is what you are currently displaying) will be created for you and attached to your message.

If you check the box marked “Automatically append specific pairing information”, then the program will add one line to the end of your message consisting of the pairing information for each of the players in your list of recipients.

The information included consists of the current round, the recipient’s color, board, opponent, and the opponent’s rating.

Finally, enter the text of your message and click “Send email” to deliver it.

Note: Security standards are constantly evolving. If you find problems connecting or sending emails, see if your host offers an option to lower the security requirements.
