Rerating and Section Moves
When a player’s rating changes after they register (for example, a new published supplement or a live rating refresh), they may now be eligible for a different section. The Rerating view lists those players so you can review the evidence, preview what a move would cost, and move them yourself. ChessRoster never moves a player or changes a payment on its own.
Open it from the tournament management panel: Registrations → Rerating.
What You See
Each player in the review shows:
- Prior and Current rating, each with where it came from (for example, Published supplement or Latest live rating) and its as-of date. A rating marked out of date needs a refresh before the player can move.
- What changed it: a published supplement or a live rating refresh. A rating you edit by hand is not recorded as a change, so that player appears only if their current section no longer fits.
- The player’s current section and the sections they are now eligible for, with each section’s rating limit (for example under 1800) and seats left. Full sections and sections with closed registration are listed but cannot be chosen.
- Pricing history unknown, when the player registered before ChessRoster kept a record of the fee schedule (see Unknown pricing history).
- Moved N times before, with a History link, when the player has already been moved.
Eligibility is re-evaluated from each player’s rating evidence against each section’s rating limits.
The summary cards along the top double as filters:
| Card | Shows |
|---|---|
| In review | Everyone with a rating change |
| Ready to move | Players eligible elsewhere whose original price is on record |
| Needs pricing decision | Players eligible elsewhere with no trustworthy pricing history |
| Can’t move | Players protected by a TD override, locked, or missing rating data |
| No change | Players whose rating moved but whose eligible sections did not |
Why a Player Can’t Be Moved
| Message | What to do |
|---|---|
| A TD override protects this rating | Remove or change the override first if you intend to move the player. A self-reported rating is protected the same way. |
| Already has pairings or results | The player stays in their section so pairings and results are preserved. |
| Entered through a bundle that requires the same section | Move the player’s other bundle events together, outside this view, or leave them in place. |
| No current rating / rating is out of date | Refresh ratings, then click Refresh in the Rerating view. |
| Tournament has started, closed or cancelled | Section moves are locked. You can still review rating changes. |
Move a Player
Choose a destination
In the player’s row, pick a section in Move player to. When only one section is available it is chosen for you; when the player could play up or down, you choose.
Preview the move
Click Preview move for one player, or tick several players and click Preview N moves in the bar at the bottom of the page. Previewing changes nothing.
Review the price
For each player the preview shows:
- Originally charged — what they paid at registration, line by line.
- Destination at registration-time fees — what the destination section cost under the fee schedule in force when that player registered, using the destination’s tiers, discounts and fees in force then. Later fee edits do not change this price.
- Paid so far — online payments (paid invoices are online payments, so they are included once) and offline payments, less refunds issued or still pending. Invoices that are still unpaid are listed but not counted.
- The difference: Player owes, Player is owed, or No price difference, plus the calculation inputs used.
Choose how to handle payment
Each player needs an explicit choice. Nothing is pre-selected:
- Move only — leave payments as they are
- Refund the player — up to the amount shown. The refund goes back to the player’s original online payment through PayPal, and PayPal shows the player the note “Section change adjustment (ref MV-…)”. Offline payments are never refunded here.
- Invoice the player — between $1.00 and the amount shown. The invoice is emailed to the player when you confirm.
Only the options that apply to that move, and that your role allows, are offered. Tournament directors who can’t view tournament financials see no amounts, can only choose Move only, and resolve unknown pricing only by moving without a price adjustment. Directors allowed to issue refunds can refund but never invoice, because an invoice is a new charge. Invoices are available to organizer admins when payment requests are set up for the tournament. You can change the refund or invoice amount, but not above the limit shown. With several players in the preview, Choose “Move only” for all of them fills in every player who has no decision yet. Untick Include in this batch to leave a player out.
Confirm
The footer totals the moves, refunds and invoices. Click Confirm N moves. While the moves are recording, the preview cannot be closed.
Back to review (or Esc) closes the preview without changing anything and keeps your selection. If you have already made decisions in the preview, you are asked whether to discard them first.
Each preview is valid for a limited time. If it expires while you are deciding, the preview says so and offers Preview again, which prices the moves afresh; you then make the decisions again.
Results and Recovery
After you confirm, every player gets their own result:
| Result | Meaning and next step |
|---|---|
| Moved | Section changed. No refund or invoice was chosen, or the one you chose completed. |
| Moved — payment processing | The move is recorded and the refund or invoice is waiting for confirmation. It appears in the player’s payments once confirmed. |
| Moved — payment step pending | The move is recorded but the refund or invoice did not complete. Click Retry; the move itself is not repeated. |
| Moved — payment step failed | The move is recorded but the refund or invoice failed and can’t be retried here. Handle it from the player’s registration. |
| Already recorded | This exact decision was recorded earlier, so nothing was repeated. Its payment step is shown the same way as above. |
| Changed since preview | The registration, pricing or section changed after you previewed. Nothing changed; click Preview again. |
| Preview expired | The preview ran out before it was confirmed. Nothing changed; click Preview again. |
| Not moved | The move was refused (the reason is shown). Nothing was changed for that player. Some failures offer Retry. |
The line above the results counts how many players were moved, already recorded, not moved and still need attention.
One player’s failure never blocks the others. If you close the results while something still needs attention, a banner offers Open results so you can come back to it.
Retrying is always safe. If your connection drops while moves are recording, use Retry safely: ChessRoster recognizes the same decision and never moves, refunds or invoices a player twice. Until then the decisions in the preview are locked, so a retry sends exactly what you confirmed; go back to review to start over.
Unknown Pricing History
Some players show Pricing history unknown or Price needs review: they registered before ChessRoster recorded fee schedules, or the price they paid cannot be reproduced from the stored history (for example, a share of a bundle price, or a player in a section where the team pays one entry fee). ChessRoster does not treat today’s fees as what they would have paid, so the preview shows the difference as unknown and offers no payment options yet. To move one of these players:
Choose a resolution
- Enter a reviewed price for the destination section — the price you have confirmed, for example from a paper entry form.
- Move without a price adjustment — move the player and leave payments unchanged.
If an option can’t be used for a player (for example, a reviewed price for part of a bundle), the preview says so and the option is turned off.
Give a reason
A reason is required. It is saved with the move in its history.
Update the preview
Click Update preview. ChessRoster prices the move again with your decision. For a reviewed price, the preview then shows the difference against what the player paid, and you choose how to handle payment as for any other player.
Until the preview reflects your current decision, confirming shows a reminder and does not move this player. If you change the price or the reason afterwards, click Update preview again.
Move History
Click History on a player, or Move history at the top of the page for every player. Each entry shows the date and who recorded it, the sections and ratings before and after, the fee schedule version and the date it took effect, the original charge, destination price and difference, your payment decision and what happened to it (completed, processing, not completed or failed), and any reason you gave. Directors without financial access see whether a payment step happened, but no amounts. Show calculation lists the inputs behind the price.
