Registering Multiple Players
Register more than one player for the same tournament and pay for everyone in a single checkout. This is useful for parents registering siblings, coaches entering a club, or anyone signing up a few friends at once.
Registering just yourself? Use the standard registration walkthrough instead — nothing changes for a single player.
Two Ways to Register a Group
ChessRoster offers two paths. Pick the one that fits the size of your group.

Both methods place one payment for the whole group and send each player their own confirmation.
Discount codes and member pricing apply to single-player registration only. When you register more than one player, these discounts are not applied — register a player individually with the standard form if they need a discount code or a club-membership discount.
Method 1 — Add Players to the Form
This is the regular registration form with extra players added. You do not need an account to use it, though signing in is recommended.
Start registration
Open the tournament page, click Register, and fill in the first player’s details on the Player Information step. The first player is marked Primary — this is you (or whoever the account belongs to).
Add another player
Click Add Another Player below the player cards. A new card appears for the next player. Repeat for each person, up to 10 players total.

Fill in each player card
Player cards stack as an accordion — one is open at a time. Each card collects that player’s name, email, and any required federation IDs (USCF, CFC, or FIDE).
- A green check on a collapsed card means it is complete; an amber warning means something still needs attention.
- Click a card to expand and edit it.
Remove a player if needed
Click the trash icon on any extra player’s card. A confirmation appears — choose Remove to delete that player’s details, or Cancel to keep them.
Choose sections
On the Section Selection step, each player gets their own section panel, evaluated against that player’s own rating. To save time, click Same section for everyone to copy the first player’s section to all players.

Pay once for everyone
The Payment step shows a fee table with a row per player and a single total. Complete one PayPal payment to register the whole group. If the total is $0, you will see Complete Free Registration instead.

Review your confirmation
After payment, a confirmation screen lists every registered player. Use View All My Registrations to manage them, or Back to Tournament to return to the event.

About emails: Each player can have their own email address. Players with an email receive their own confirmation and tournament notifications. Players without an email are managed entirely under your account.

Method 2 — Upload a Roster
For larger groups, upload a spreadsheet instead of typing each player. This flow is a guided wizard at the tournament’s group registration page.
Prerequisites
- You must be signed in (create an account if needed) — the uploader pays for the whole group.
- A roster file in CSV, TSV, or Excel (.xlsx) format, up to 1 MB and 50 players.
How to get there: Click Register on the tournament, then take either roster-upload link — the “Upload a roster →” callout on the first screen (Tournament Overview), or the Upload a roster instead link under Add Another Player on the Player Information step. You will be asked to sign in if you are not already.
The wizard has four steps plus a confirmation: Upload → Map Columns → Review & Fix → Checkout.
Upload your roster
Drag a file onto the drop zone or click Choose file. You can also click Paste from a spreadsheet instead to paste rows copied from Excel or Google Sheets.
Not sure about the format? Click Download template to get a starter file with the right columns. Make sure your first row contains column headers (for example: First Name, Last Name, Email, USCF ID, Section).
Map columns
ChessRoster matches your file’s columns to registration fields automatically.
- If every column is recognized, this step is skipped — you go straight to review.
- If a column is uncertain, you will see a Guessed or Low confidence badge. Confirm or correct each mapping using the dropdowns, then click Continue to Review.
Available targets include First Name, Last Name, Email, Phone, USCF/CFC/FIDE ID, rating, Section, and any custom questions the organizer added. Choose Ignore this column for anything you do not want imported.
Review and fix
A grid shows every player with a readiness indicator like “8 of 10 ready.” Rows with problems are flagged.
- Edit any cell or row to fix names, emails, IDs, or section.
- Use Set section to assign a section to several selected players at once.
- Use Add me to include yourself as a player, or Add player for a blank row.
- USCF IDs are verified automatically, and duplicates (within your file or already registered for the tournament) are flagged.
You cannot continue until every row is error-free.
Checkout
Review the group and complete one PayPal payment. You (the uploader) pay for all players. Final fees are calculated at payment. If the total is $0, use Complete free registration instead.
Confirmation
You will see “Group registered!” with a list of all registered players. Players who supplied an email show an Account linked chip and receive their own confirmation. From here you can open View my registrations or return to the tournament.
Where Group Registrations Appear
After you register a group, everyone shows up in My Registrations:
- A Registered by Me tab appears, listing every player you signed up, grouped by tournament with each player’s section and status.
- On a player’s own card, a “Registered by” line shows your name as the person who paid for the entry.
Each registered player who has their own account also sees the registration in their personal My Registrations.
Troubleshooting
“File is too large”: The roster must be under 1 MB. Remove extra columns or split very large files.
“The group checkout limit is 50 players”: Upload at most 50 players per submission. For more, submit a second roster.
A player is flagged as a duplicate: That player’s federation ID is already registered for this tournament, or appears twice in your file. Remove the duplicate row or correct the ID.
USCF verification is unavailable: The USCF lookup service may be temporarily down. Verify the ID and rating manually, then continue.
A section shows as full or ineligible: Capacity or rating rules apply per player, just as in standard registration. Choose a different section, or contact the organizer.
I need a discount code or member pricing: These are not supported for group registrations. Register that player individually with the standard form.
