Organizer Onboarding

There are two ways to get started as an organizer on ChessRoster:

  1. USCF Affiliate Organizations: If you represent a USCF affiliate that has not yet been claimed in our system, you can claim your organization if you are an officer or authorized member. See below for the claiming process.

  2. Non-USCF Organizations: If your chess organization is not a USCF affiliate, please contact support to be onboarded.

Once your organizer profile has been established, you can add other officers and tournament directors to help manage tournaments. Players do not need to be added to your organization directly—they will register themselves when signing up for tournaments.

How to Claim Your USCF Organization

If you’re affiliated with a chess organization (such as a USCF affiliate club), you can claim and manage your organization’s profile on ChessRoster.

Claiming Process:

  1. Log in to your ChessRoster account.
  2. Visit the claim page directly at https://www.chessroster.com/organizers/claim 
  3. Enter your USCF Affiliate ID in the form.
  4. The system will check if your organization exists and has already been claimed:
    • If it exists and hasn’t been claimed, you can proceed with the claim process.
    • If it exists but has already been claimed, you should contact the administrator who claimed it or email moc.retsorssehc@troppus for assistance.
  5. Check the certification box to confirm you are an authorized member of this affiliate.
  6. Click the “Claim Organization” button.
  7. After successful claiming, you’ll be redirected to edit your organization’s profile.

Online Registration Requirements

To accept online registrations through ChessRoster, organizers must:

  • Link to a PayPal account (personal or business account depending on your needs).
  • Set registration fees of at least $1.00 per registration.
  • Accept all terms and conditions.
  • Agree that they are solely responsible for refunds to participants.
  • Understand that PayPal and ChessRoster fees are nonrefundable.

These requirements ensure secure payment processing and a smooth registration experience for both organizers and players.
